Minutes of the meeting of the RADLETT FESTIVAL COMMITTEE held at 7.30pm on Wednesday 4 May 2005 in Meeting Room Two, The Radlett Centre, Aldenham Avenue , Radlett.

1. Apologies for absence

Apologies were received from Councillor Mrs Viv Charrett, Stuart Nagler and Ray Hayes.

 

2. Declarations of Interest

Allan Beaver declared an interest on behalf of Beaver Travel.

 

3. To confirm the Minutes of the Meeting held on 4 May 2005

It was noted that Simmons Estate Agents was spelt without a d at the end. The Shadows drummer was Brian and not Alan Bennett. Only one ice cream van had been booked for the Fair on Sunday. Following the alterations the Minutes were signed as a true and correct record.

 

4. Review of the Festival

The following points were noted:-

Saturday – School Rock Band Competition

  1. Allan confirmed that he was able to obtain a judge for the Rock Band competition possibly from Buckinghamshire College .
  2. The stalls would back onto the Rosefield with the exception of the Candy Floss stall which required electricity and would be sited adjacent to the Tabard entrance
  3. Fred, Head of Grounds Maintenance, to be asked for loan of orange/blue plastic fencing.
  4. Jan to sell drinks and sweets
  5. Vicky expressed concern over toilets, advertising, promotion and Red Cross
  6. 13 Bands had booked so far
  7. 5 stalls were anticipated
  8. Walkie Talkies for helpers would be supplied by Vicky
  9. VIP passes would be supplied by Vicky
  10. Ticket Stubs to be handed back for those wishing to leave the grounds
  11. A large number of car park attendants/stewards were required
  12. A security guard was required to be in attendance overnight for two nights at a cost of £50 per night
  13. Jan to write to neighbouring houses to inform them that the concert was taking place and to offer complimentary tickets
  14. The Radlett Centre had been hired for 6 hours on lst June. Vicky to meet with RCT technical staff to discuss details
  15. Stalls to provide/sell cd's/mobile telephones/drug awareness
  16. Simmons to be contacted re advertising boards

Sunday - Fair

  1. 47 stalls have been booked so far
  2. Plastic Dust bins needed to keep can/bottles cool
  3. The Rotary Club would provide large sized raffle ticket drum
  4. Jan to obtain a box of black sacks
  5. The list for stall holders was to be closed by the end of May
  6. The Head of Grounds Maintenance had expressed concern over the marking out of the stalls – Graham would assist and contact Fred to make arrangements
  7. The Hare Krishna's would provide vegetarian food also the oxen for trips to Allotments
  8. Jan to order a quantity of Radlett Festival pens
  9. Check with Giles for a raffle prize update
  10. Prizes for fancy dress to be bought by Jan. Sylvia to advise what was required
  11. Refreshments to be provided to all helpers, to be kept in HQ tent in cool boxes, each committee member to provide cool boxes
