ALDENHAM PARISH COUNCIL

Minutes of the meeting of the RADLETT FESTIVAL COMMITTEE held at 7.30 pm on Thursday 16 March 2006 in Meeting Room One, The Radlett Centre, Aldenham Avenue, Radlett.

  1. Apologies for absence

    Apologies were received from Caroline Corfield, Philip Eastburn and Councillors J Howley and R T Worthy.

  2. Declarations of Interest

    Stuart Nagler declared an interest as Chairman of the Watford Peace Hospice.

  3. To approve the Minutes of the meeting held on 9 February 2006

    The Minutes were approved as a true and correct record.

  4. Matters arising from the Minutes of the Meeting held on 9 February 2006

    There were no matters arising.

  5. Saturday Concert ‘Picnic in the Park’

    The following points were highlighted and discussed:

    • Entertainment during the concert would consist of Fire Dancers and Conjurors
    • A possible firework display was being considered
    • The marquee would be 40’ and cost £893.00
    • The ticket printing would cost £68.75
    • Details of the programmes, advertisements and publicity were almost finalised
    • Sylvia Cohen and Nigel Rogers would sing at the concert
    • Wavy flags needed to be purchased
    • Nila and the Hare Krishna’s would provide theatre lights, other lighting, the stage and a number of tents
    • A security company to be approached to quote for overnight attendance at Phillimore Recreation Ground for three nights from 9 pm to 8 am
    • The music and musicians have been booked
    • A number of disabled parking bays would be made available in the car park
    • Three rows of car parking spaces each with sufficient space for thirty cars lined up in front of the poplar trees at Phillimore Recreation Ground
    • Ticket prices would be £12 per person, £8 under 16’s or £35 for a family if purchased beforehand.  On the night the price would increase to £15 per person, £10 under 16’s and £45 per family.  No refunds would be given
    • Proceeds from the concert would be divided 50/50 between the Watford Peace Hospice and the Youth Fund
    • A police presence was deemed necessary at both the concert and fair, Stuart would contact PCSO Adele Jenkins to discuss the matter with her
    • Graham showed members a proposed layout of the field.  Following discussion it was decided to site the stage to the right of the field backing onto the drive that led to the allotments
    • D P Clarke Butchers had offered to put on a BBQ and that was being considered.  Should a BBQ be held then a bar would also be required with a local licensee to run it
    • The pavilion would be required by the musicians for use on Saturday evening
    • Ray suggested using the Fair programme contents for the inside of the Picnic in the Park programme with the front and back covers being changed to suit. That proposal was being considered

  6. Sunday Fair

    • Approximately 15 organisations had booked stalls
    • Letters to stallholders to be sent out to all those that had applied in 2006 and to the 2005 stallholders
    • Sue Civval to be contacted to enquire if a play station and dance mats could be borrowed
    • A bunje/elasticated waist pulley (correct name not known) to be hired if possible
    • The Hare Krishna ox cart will circuit the field as last year
    • Radlett Bowls Club would put on a bowling demonstration at 2.30 pm, to be included in the programme, this would coincide with ‘have a go at bowling’
    • Stuart would approach JK Rowling’s parents to enquire if a signed Harry Potter book could be obtained for a prize/auction/raffle
    • Compere’s were Simon Tompkin and Dominic Ingram
    • The stage manager for both events was Philip Eastburn
    • The Round Table would help to sell programmes and assist in manning the gates
    • Tickets and programmes would be on sale at Aitchinsons, Watford Peace Hospice shops, Medivet, Aldenham Parish Council and Beaver Travel
    • The dog show would be titled ‘Best Dressed Dog or Lady’. Jan would write to Pam St Clement (Pat from EastEnders) to ask if she would be prepared to judge the competition. Mark Crofts would be approached to take photographs of the event. Sylvia would compere. Medivet would organise prizes.
    • Radlett Lawn Tennis & Squash Club would be approached to enquire if they would like to have a pitch/stall as in 2005
    • The Punch and Judy shows had been booked at a cost of £150
    • The Hare Krishna would provide an Indian Welcome Dance
    • A Fancy dress competition would be held with the theme ‘Magic’
    • Mary would try to book a clown to provide entertainment for both Saturday Evening and Sunday afternoon
    • The vintage car/fire engine would attend
    • Portable Toilets would be hired at a cost of £470 for 6 toilets, if cleaning was required for use on Sunday then an additional £120 + VAT would be charged


  7. Publicity

    All publicity items were required by Ray Hayes at Village Focus by 8 April 2006.


  8. Budget
  9. Roger asked that all cheques be made payable to Aldenham Parish Council and all purchases made through Aldenham Parish Council.

  10. Date of next meetings
  11. The next meetings would be held on Thursday 20 April and Thursday 25 May 2006.
