ALDENHAM PARISH COUNCIL
Minutes of the meeting of the RADLETT FESTIVAL COMMITTEE held at 7.30pm on Thursday 21 April 2005 in Meeting Room 2, The Radlett Centre, Aldenham Avenue, Radlett.

1. Apologies for absence
Apologies were received from Mr Stuart Nagler and Professor Allan Beaver.
2. Declarations of Interest
There were no declarations of interest.
3. Minutes of the notes of the Sub Committee held on 26 April 2005
The Minutes were signed as a true and correct record.
4. Matters arising from the Minutes of the meting held on 21 April 2005
The following items were noted:
- It was understood that the Tabard Rugby Club/Cricket Club car park would hold approximately 50 cars
- Salters Field would be mown to give additional car parking spaces
- The cost of additional toilets would be looked into by Gauri dasa
- The electricity for Tabard Rugby field would be sourced by the spotlights
- Jan to contact Drug Awareness and Anti Smoking groups as possible stallholders
- The area adjacent to the club house to be kept clear
5. Concert Update – Vicky Churchill
Vicky gave an updated report as follows:
- Sponsorship had been received from Simmonds (£500) and Harpenden Building Society (£2000)
- 10 bands had registered to date
- No entry fee charge would be made to those attending the elimination rounds at the Radlett centre, programmes would be sold instead
- Racked seating to be out at the Radlett Centre
- Vicky had arranged a ‘technical' meeting at the Radlett Centre with Kieran and Raj
- Use would be made of the Radlett Centre's sound system but the Festival would bring own amps etc.
- A competitors pack had been sent to each band entering
- Overnight security at Tabard Rugby Club would be organised by Viv for Thursday, Friday and Saturday evenings. The stage would arrive on Thursday and the marquee on Friday
- Three smaller marquees would be borrowed from the Hare Krishnas
- The Festival Committee would run own stall selling soft drinks and sweets
- CD's and mobile phone stalls were discussed as a possibility
- Candy Floss stall had been booked
- The roundabout for the under 9 years was not thought suitable, Sylvia to contact
- The tickets/posters and flyers would be provided by Vicky via Ace Records
- Concert flyers to be delivered when selling programmes
- Chiltern Radio would be providing two Thunder cars
- Suggested judges – Ben Dudley from Chiltern Radio, Shadows drummer Alan Bennett
- Flyers to be sited on grass verges along the entrance roads into Radlett – Grounds staff to be approached for erecting the posters/flyers
- A generator to be provided by ????
- The stage to have a clear area covered by low staging in front of the audience for the wires to go under
- No chairs to be provided
- 4 fire extinguishers and 1 fire blanket had been provided by Kidde Fire Protection
- Vicky to organise a stage manager and compere
- Neighbouring houses to be contacted
- Tabard Rugby Club do not wish their toilets to be used
- Tape and spikes to be borrowed from the Hare Krishna
- Several signs for disclaimer, toilets, car park, directions etc would be required
- 500 cars parking spaces to be allowed on Salters Field possibly charging £1 per car
- Risk Assessments to be carried out for both days
6. Update of Carnival Fair
Viv and Sylvia gave an update of Carnival Fair:
- 38 stalls had been booked to date
- The number of classic cars was between 5 and 20
- Dog show posters to go to local vets and grooming parlours
- Prizes were being donated by Medivet
- The comperes were Dom Ingram and Chris Baker
- Ice Cream vans would be in attendance on both days
- The fire engine would attend
- The NCT would be serving teas and biscuits in a 30' tent provided by the scouts
- All stall holder plots to be number beforehand by the grounds staff
- All stallholders to be given better directions than last year
- It was possible that a temporary BMX cycle track measuring 15m x 10m may be sited on the edge of Phillimore Recreation Ground adjacent to the allotment entrance (a Parish Council/Police initiative)
- The Harpenden Building Society window was booked for the first two weeks of June
- 5000 programmes and 5000 flyers would be printed by Ray Hayes of Village Focus
- The May and June editions of Village Focus would feature the Radlett Festival
- Estate Agents to be approached for advertising boards
7. Budget
Copies of the budget were circulated by Roger and discussed by members.
