ALDENHAM PARISH COUNCIL

Minutes of the meeting of the RADLETT FESTIVAL SUB COMMITTEE held at 7.30pm on Thursday 7 April 2005 in the Douglas Hicks Room, The Radlett Centre, 1 Aldenham Avenue, Radlett.

1. Apologies for absence

Apologies were received from Brian Hyde and Stuart Nagler.

 

2. Declarations of Interest

There were no declarations of interest.

 

3. To confirm the notes of the meeting held on 15 March 2005

The Minutes were signed as a true and correct record.

 

4. Concert Up Date

Vicky gave an updated report as follows:-

  • Vicky would have a meeting with Raj from the Hare Krishna's on 8 April to discuss equipment required for the concert
  • Four schools band had already booked to take part in the concert
  • A goodwill contract would be drawn up and given to each participating band
  • The cost of hiring the toilets was still being looked into
  • The hire of fire extinguishing equipment was being looked into
  • A small marquee was required from the Hare Krishna's
  • A second small marquee was required for the Red Cross
  • A small generator was required from the Hare Krishna's
  • Vicky would be printing tickets at a cost of £70 for 3000 tickets
  • It was suggested that stalls be set up to promote drug awareness and anti smoking – Jan to look into
  • BBQ facilities would be available on both Saturday and Sunday by the former Clarke's butchers
  • A candy floss stall and roundabout would be supplied by Vanessa Smith
  • The festival committee would be supplying a drinks stall
  • Car parking assistance was required. Additional space to be sought at Radlett Nursery and Infants School , Masonic Hall, Cat and Fiddle and Salters Field, which was to be partially mown.
  • Car parking for bands and disabled to be made available and marked off
  • Security to be arranged for the marquee overnight
  • Vicky guaranteed that she would be able to raise £2000 through sponsorship
  • The security company ‘Safe for Us' charge £11.90 per person per hour. The requirement was 10 security personnel for 3000 people. A site meeting would be held before the event
  • Viv/John to contact the licensing officer
  • The cost to hire the Radlett Centre to be covered by a £1 entrance fee

 

5. Radlett Fair

  • All stallholder letters had now been sent out by Sylvia
  • 20 plus classic cars were anticipated
  • The dog show would be provided by Radlett Dog Training Society, the following groups would be judges – prettiest bitch, handsome male, judges favourite, cutest mutt
  • Two comperes would be present – Dom Ingram and Chris Baker
  • An ice cream van would attend on both days giving £170 overall plus a donation
  • 14 stalls had been booked so far
  • Brian Hyde would have a double stall selling plants and hanging baskets
  • Elizabeth Wackrow would be having plant stall
  • Malcolm Forrest, a local fireman had arranged for the fire engine to attend and to give details of fire prevention
  • Lana and John Young would be manning a food stall
  • Sue Lay, a photographer to consider taking a stall
  • Scouts would be doing games, puzzles and toys
  • Jackie Glover and NCT would be doing teas
  • Delrow to be approached to take a table
  • Round Table to take two stalls

It may be possible that the opening times needed to be slightly altered and this would be adjusted on the programme.

 

6. Other events during 2005

A stall would be taken at the VE+60 celebrations to promote the Radlett Festival. Mary would be in charge of the stall with Jan helping.

 

7. Programmes

Programmes would be on sale at Beaver Travel, Aldenham Parish Council office and Medivet. Allan would collect the programme stubs and money on the morning of 11 June with Roger collecting on an interim basis.

The banners would incorporate both the Rock Band Festival and the Fair on one banner.

 

8. Distribution of Programmes

Mary read out a list of roads and asked for volunteers.

 

9. Distribution of Monies raised in 2004

Three cheques amounting to £5300 were presented to three youth groups at the Annual Meeting on Tuesday 5 April; Resound, Radlett Scouts and Radlett Guides. There was a balance of £1700 from the monies raised and it may be put towards erecting static vandal proof football goal posts a Phillimore Recreation Ground. The Head of Grounds Maintenance to investigate.

 

10. Date of next meeting

The next meeting would be held on Thursday 21 April 2005 at 7.30pm
